Privacy Policy

This policy applies to the PresenceFlow application, the public pages that customers publish through it, and the marketing pages on this site. It covers people who create a PresenceFlow account and visitors who browse a published public page.

We collect the following categories of information.

• Account information. Your email address, your name, and the password you set. Passwords are handled by our authentication provider and are never stored by us in readable form.
• Professional profile information. Details you choose to add, such as your role, industry, location, professional contact details, links to your social profiles, and a profile image.
• Career record information. Experience, education, skills, achievements, professional development records, and any evidence files, CVs or job descriptions you upload.
• Content you create. Campaigns, articles, drafts, scheduled and queued posts, learning modules and credentials generated or written inside the product.
• Subscription information. Your subscription status and the identifiers our payment provider uses for your customer and subscription records. Card details are entered with our payment provider and are not stored on our systems.
• Technical and operational information. Server logs, request identifiers, records of usage against your plan allowances, and records of transactional emails we have sent you.

• To create and operate your account, and to sign you in securely.
• To provide the features you use, including generating and storing your content.
• To publish your public page and its content when you choose to publish it.
• To take subscription payments and manage your plan.
• To send transactional email, such as email verification, password reset and reminders related to your use of the product.
• To keep the service secure and working, diagnose faults, and prevent abuse of the service.

PresenceFlow includes a public page that you control. When you publish it, the content you have marked as visible becomes available to anyone with the link and may be indexed by search engines. That can include your name, headline, biography, profile image, articles, achievements, experience, education, skills and professional development records.

Publishing is opt-in and section-by-section. You can change what is visible, or unpublish your page entirely, from inside the product at any time. Copies that search engines or other third parties have already cached are outside our control.

Some features generate or revise content using a third-party AI provider. Where you use those features, the material needed to fulfil your request, such as your instructions and the relevant profile or campaign context, is sent to that provider to produce the result. These features are only invoked when you use them.

We use a small number of providers to run the service. They process information on our instructions and only for the purposes described here.

• A cloud database, authentication and file storage provider.
• A cloud hosting provider for the application and its transactional email service.
• A payment provider for subscriptions and card payments.
• An AI provider for the content generation features described above.
• An image library provider, used only when you search for images inside the product.

We keep your account information and the content in your account for as long as your account is open. If you close your account, we delete or anonymise your information within a reasonable period, except where we need to keep records to meet legal, accounting or fraud-prevention obligations. Operational logs are kept for a short period for security and troubleshooting.

Access to your account requires your email address and password, and email verification before the product can be used. Your data is separated by account, uploaded evidence files are private and only reachable through short-lived links, and traffic to the service is encrypted in transit. No online service can be guaranteed to be completely secure.

Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to have it corrected, to have it deleted, to object to or restrict how we use it, and to receive it in a portable form. Much of this is available directly in the product: you can edit or delete your profile, your content and your public page at any time.

We set cookies that are necessary for the service to work, including keeping you signed in. Your browser may also store small preferences locally, such as the theme chosen on a published public page.

PresenceFlow is a professional tool intended for adults. It is not directed at children, and we do not knowingly collect information from them.

We may update this policy as the product changes. The date at the top of this page shows when it was last updated. If a change materially affects how we handle your information, we will tell you through the product or by email.
